Terms of Service

These Terms of Service ("Terms") govern your access to and use of rftag, an invite-only automated translation draft service available at rftag.co.uk.
By creating an account, purchasing credits, uploading a document, or using the service, you agree to these Terms. If you do not agree to these Terms, you must not use the service.
About rftag
rftag provides an automated translation draft service using large language models and related quality-checking tools.
The service is intended to help users produce draft translations of DOCX documents. It is not a professional human translation service, certified translation service, legal translation service, or publishing guarantee.
The output is intended to be reviewed, edited, and approved by a human before use.
Invite-Only Access
rftag is currently an invite-only service.
We may approve, reject, suspend, or remove access to the service at our discretion, including where we believe this is necessary for security, abuse prevention, technical reliability, legal compliance, or commercial reasons.
You must not share your account access with anyone else unless we have given permission.
Accounts
You are responsible for keeping your account credentials secure.
You are responsible for all activity that occurs under your account. If you believe your account has been accessed without permission, you should contact us at contact@rftag.co.uk as soon as possible.
Word Credits
rftag currently operates using word credits purchased through Stripe.
The current price is $1 per 1,000 words, unless otherwise stated at the point of purchase.
Credits are used to process uploaded documents and generate draft translation outputs. The number of credits deducted may be based on the word count of the uploaded document, processed text, or another reasonable usage measurement shown or applied by the service.
Credits do not currently expire.
We may change our pricing, credit system, credit rules, or introduce expiry periods in the future. If we do this, we will act reasonably and will aim to give users appropriate notice where a change materially affects existing unused credits.
Nothing in these Terms prevents us from changing prices for future purchases.
Payments
Payments are processed by Stripe. We do not directly store your full card details.
You are responsible for ensuring that your payment information is accurate and that you are authorised to use the payment method provided.
Taxes, currency conversion fees, payment processing fees, or bank fees may apply depending on your location and payment method.
Refunds
Refunds are governed by our separate Refund Policy.
By using the service, you acknowledge that rftag provides a digital automated translation draft service and that processing may begin shortly after you upload a document or submit a job.
Uploaded Documents
You may upload DOCX files for translation.
You are responsible for ensuring that you have the legal right to upload, process, translate, and use any document submitted to the service.
You must not upload documents in a way that infringes copyright, confidentiality obligations, contractual restrictions, data protection law, or any other rights of another person or organisation.
Ownership of User Content
You retain ownership of the documents you upload and the translation outputs generated from those documents.
rftag does not claim ownership of your uploaded files or your translated outputs.
By uploading a document, you grant rftag a limited licence to process, store, transmit, analyse, translate, and otherwise handle the document only as necessary to provide, secure, support, troubleshoot, and improve the service.
This licence ends when it is no longer necessary for us to provide the service or meet our legal, security, accounting, or operational obligations.
Commercial Use
You may use translation outputs commercially, including for client work, publishing, editing, or freelance translation workflows, provided that you have the necessary rights to the source material and are responsible for reviewing and approving the final text.
You are solely responsible for ensuring that your use of any source document or translated output complies with copyright law, contract law, confidentiality obligations, platform rules, client requirements, and any other applicable obligations.
Draft Translation Only
rftag provides automated draft translations.
Machine-generated translations may contain errors, omissions, mistranslations, formatting issues, tone issues, cultural inaccuracies, hallucinations, or other defects.
The service may include quality scores, comments, flags, or review notes, including comments where a translation segment receives a score of 80% or less. These tools are intended to help users identify areas that may require human review. They are not a guarantee that all errors will be detected.
You are responsible for reviewing, editing, verifying, and approving all outputs before relying on them, delivering them to clients, publishing them, or using them commercially.
No Guarantee of Accuracy
We do not guarantee that any translation output will be accurate, complete, faithful, publishable, legally compliant, commercially suitable, or fit for any particular purpose.
You should not rely on rftag as the sole review step for important, sensitive, legal, medical, financial, technical, regulatory, or high-risk content.
AI Provider Moderation and Limitations
rftag uses third-party AI providers, including OpenAI and DeepSeek, to process translation jobs.
If uploaded content is blocked, moderated, filtered, refused, truncated, altered, or handled differently by an AI provider, rftag is not responsible for any resulting failure to translate, incomplete translation, reduced translation quality, or inability to translate faithfully.
Some content may not be translated as expected due to provider policies, safety systems, technical limitations, context limits, or model behaviour.
Availability and Changes to the Service
We aim to provide a reliable service, but we do not guarantee that rftag will be uninterrupted, error-free, secure, or available at all times.
We may modify, suspend, limit, or discontinue any part of the service where reasonably necessary, including for maintenance, security, abuse prevention, legal compliance, provider changes, cost changes, or product development.
We may update models, prompts, quality-checking methods, pricing, credit rules, features, infrastructure, or third-party providers from time to time.
Third-Party Services
rftag relies on third-party services, including hosting, database, payment, analytics, and AI providers.
We are not responsible for failures, outages, policy decisions, moderation decisions, pricing changes, data handling, or other acts or omissions of third-party providers, except where applicable law says otherwise.
Your use of the service may also be affected by the terms and policies of those third-party providers.
User Responsibilities
You agree to use rftag lawfully and responsibly.
You are responsible for:
- Ensuring you have the right to upload and translate documents.
- Reviewing and editing all outputs before use.
- Keeping your account secure.
- Ensuring your use of outputs complies with applicable law and client requirements.
- Not attempting to disrupt, abuse, reverse engineer, overload, scrape, or misuse the service.
- Not using the service in a way that harms rftag, other users, third-party providers, or any other person.
Suspension and Termination
We may suspend or terminate your account or access to the service if we believe that:
- You have breached these Terms.
- Your use creates legal, security, operational, or reputational risk.
- Your use may infringe rights or violate applicable law.
- Your account has been compromised or misused.
- Continued access would be harmful to the service, other users, or third-party providers.
Where reasonable, we may give notice or an opportunity to resolve the issue, but we are not required to do so where immediate action is needed.
Data and Deletion
Uploaded documents and translation outputs are handled in accordance with our Privacy Policy.
Files and outputs are generally stored for up to 90 days unless deleted earlier by the user or retained where necessary for legal, security, accounting, fraud prevention, dispute resolution, or operational reasons.
You may delete files and jobs through the dashboard where that functionality is available.
Intellectual Property in the Service
rftag owns or licenses the software, systems, interface, workflows, prompts, branding, design, infrastructure, and other materials used to provide the service.
You must not copy, reproduce, resell, reverse engineer, or attempt to extract the underlying systems, prompts, code, models, or workflows of the service, except where permitted by law.
Feedback
If you provide feedback, suggestions, bug reports, or ideas about rftag, we may use them without restriction or compensation to you.
Disclaimers
The service is provided on an "as is" and "as available" basis.
To the fullest extent permitted by law, we disclaim all warranties, representations, conditions, and guarantees, whether express or implied, including any implied warranties of accuracy, quality, merchantability, fitness for a particular purpose, non-infringement, availability, or reliability.
Nothing in these Terms excludes or limits any rights that cannot be excluded or limited under applicable law.
Limitation of Liability
To the fullest extent permitted by law, rftag will not be liable for:
- Loss of profits, revenue, business, contracts, goodwill, or anticipated savings.
- Loss or corruption of data.
- Loss arising from translation errors, omissions, or inaccuracies.
- Loss arising from your failure to review or edit outputs.
- Loss arising from third-party provider failures, moderation decisions, or outages.
- Indirect, consequential, special, incidental, or punitive damages.
To the fullest extent permitted by law, rftag's total liability to you for all claims relating to the service will be limited to the amount you paid to rftag in the 90 days before the event giving rise to the claim.
Nothing in these Terms excludes or limits liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or any other liability that cannot legally be excluded or limited.
Indemnity
You agree to compensate rftag for losses, claims, costs, damages, liabilities, and expenses arising from:
- Your breach of these Terms.
- Your uploaded documents.
- Your use of translation outputs.
- Your infringement of third-party rights.
- Your unlawful, unauthorised, or improper use of the service.
This applies to the extent permitted by applicable law.
Consumer Rights
Nothing in these Terms affects any consumer rights that cannot be excluded or limited under applicable law.
If you are using rftag as a consumer rather than for business or professional purposes, you may have additional legal rights.
Changes to These Terms
We may update these Terms from time to time.
If we make material changes, we may notify users through the service, by email, or by posting an updated version on our website.
The latest version of these Terms will be posted on our website. Continued use of the service after changes take effect means you accept the updated Terms.
Governing Law
These Terms are governed by the laws of England and Wales.
The courts of England and Wales will have jurisdiction over disputes arising from or relating to these Terms, except where applicable law gives you mandatory rights to bring a claim elsewhere.
